About Personnel

With this module, users can maintain all information pertaining to personnel such as:

Personal Info – stores the crew member's personal details, family details, education information, etc.
Activity – enables users to create and maintain activities for the crew members, keep a history of sailing activities, earned vacation, other activities, etc. Activity information is important as it denotes to the Crew Manager whether the crew member is currently assigned to a particular task, is on vacation or is attending a course and so on. This way, the Crew Manager can effectively plan when to assign relevant jobs to him based on his Activity Status.
Employment – stores details of the crew member's employment history, company awards, crew benefits and bond. This feature is useful to track promotions, awards and benefits received by the crew member, as well as to view the crew member's bond details if he has been bonded to the company.
License – stores details of all licenses held by the crew member. Validity of licenses held can be checked here as well. Expired licenses or certificates can be viewed in this table.
Certificates – keeps details of all certificates held by the crew member. Users can also keep track of certificate expiry information.

Travel Documents – travel documentation required for the personnel to join a vessel. This will allow the user to check if the crew member is in possession of all travel documents such as passport, Seaman's Book, required visa, other transit visa and so on.

Medical – the crew member’s medical reports and history. Users can also state the License for which a medical check-up is required, for example, where a crew member would need to attend a medical check-up to meet the license requirements of a Rank. Softcopy of medical reports can be uploaded to the system. This sub-module is accessible by medical panels (external parties/doctors) as well.
Complaint – allows crew members to raise complaints during their service on a vessel. Complaints can also be entered on behalf of crew members by representatives.

Evaluation – enables crew managers to carry out an evaluation on crew members. Based on their performance during a 'Sail' activity, the reviewer will be able to score the crew member on various aspects. The system will then calculate an average score. An Evaluation Summary is also available allowing Crew Managers to view at a glance all evaluations that have been carried out for a crew member.
Training – stores details of trainings and courses planned for or attended by a crew member. This feature helps users to gauge the level of expertise held by a crew member and to track the costs associated with the trainings.

Experience – this reflects on a crew member's competence with regards to a vessel type or engine type. A crew member’s external experience, sea-time experience and operation experience details can be stored in this sub-module. Users can also easily view an Experience Summary of a particular crew member.
Onboard Training/Drills - stores details of onboard training/drills that can be kept separate from the shore based training history. These training/drills are conducted onboard by the safety and quality team personnel to check on the crew's competency.
Payroll – stores information on the crew member's beneficiary as well as the crew member's past earnings during his previous employment. This feature also records wage details such as basic pay, overtime, compulsory contributions, weekend rates, public holiday rates and wage history information. Details of loans taken by the crew member can also be monitored.

Documents – enables users to view the validity of the crew member's licenses, travel documents, certificates, etc, as well as to view documents that have been attached to the crew member's profile records. Users can also generate multiple reports using this feature.

Crew Behaviour Report – stores details of the crew member’s behavior and incidents he was involved in.

Notes/Remarks & Corporate Scratch Pad – enables users to make a note or a remark about a particular crew member.
Additional Info – enables users to track items such as badges, uniforms, etc, that have been issued to the crew member.
Crew Search – allows users to perform a search for personnel records stored in the System. Users also have the option to carry out a search based on the information in the crew member's personnel record or Activity that have been created.
Pre Promotion List – allows users to retrieve a list based on a selection of criteria to view personnel who are eligible for promotion.
Crew Lists – displays a list of all persons onboard a vessel and provides information of crew members presently onboard with their sign on/sign off dates and validity of licenses/travel documents.
Medical and P&I – enables users to enter and view a crew member's medical-related information that includes his medical examination, medical incident, drug and alcohol test results, and P&I records.
Onboard Training/Drills – users can store details of onboard training/drills that can be kept separate from shore-based training history. These trainings/drills are conducted onboard by the safety and quality team personnel to check on the crew member's competency.
Wage Market Rate Entry – users can use this feature to enter wages for each rank either by using a previously created template or adding ranks into the record manually.
Wage Market Comparison – enables users to generate a wage market comparison. The range within which the wage falls in the comparison will be denoted in either green or red; the former showing that the wage is within range while the latter denotes that the amount exceeds the wage range specified.

Note on Uploading Attachments:

You can upload attachments directly from the Attachment column of any Personnel - Profiles screen tab's overview table by clicking on the link in the Attachment column for the relevant record. The Upload Manager will be displayed. Click the Add Attachment(s) button to browse for and select the attachment that is to be uploaded. Click OK. The attachment will be uploaded and can be accessed the next time from the Upload Manager window. To launch the Upload Manager again, simply click in the Attachment field.

You can also replicate uploaded attachments to selected vessels by selecting an attachment in the Upload Manager, clicking Replicate, and then selecting the relevant vessels from the Replication lookup that is displayed.
