Performing a Crew Evaluation

Using this feature you can carry out an evaluation on a crew member based on his activity. Based on the scores given for all the items listed on the Evaluation template, the System will calculate an average score for the crew member. Based on the different evaluations carried out for a crew member, you can also view a summary of these evaluations.

The Evaluation Templates available to you would depend on the template settings. The Evaluation Templates are set up in the Administration module in the Evaluation Template Register.

During the evaluation, you can also propose training courses for the crew member. These proposed training courses will then be displayed on the Training Requests screen where a user with the adequate rights will need to either approve or reject the proposed courses.

When carrying out a Crew Evaluation, you can directly access the Crew Behavior Report screen via a link on the Evaluation screen.

Note: Although relevant users can view created evaluation records, only users with the appropriate reviewer level can edit the evaluation. You can set reviewer levels for evaluation templates under the Home - Registers - Evaluation Template screen - Access Control by Role tab.

Carrying out an Evaluation on a Crew Member

To carry out an evaluation on a crew member:

1. From the HR Manager main menu, click Profiles under the Personnel menu.

2. Ensure that the crew profile to which you want to add an evaluation record has been loaded. Use the Personnel search field to search and select the relevant crew profile.

Note: To use a previously saved list of crew, click the search icon in the Personnel search field to use the Personnel List feature on the Simple Search window. Use the drop-down function to select and load a list from the Personnel List section and click a crew member from the Search Result section to view his profile.

 

3. After you have loaded the crew profile record, click the Activity tab.

4. Select an activity that you want to evaluate the crew member on. The Activity screen will be displayed where you can then click the Evaluation link.

 

5. The Evaluation screen will be displayed. Ensure that you have the Evaluation tab open and click New to create a new evaluation record. Enter information in the following fields:

Site

Select the Office or Vessel radio button to indicate the site the crew member works at.

Template Code

Use the Lookup function to select the appropriate template to be used. The Evaluation Templates available to you would depend on the template settings set up in the Evaluation Template Register.

Occasion Code

Use the drop-down function to select the type of evaluation being carried out, for instance, end of contract evaluation, a preliminary evaluation and so on.

Occasion Date

Use the calendar function to select the date of the evaluation.

Average Score

The average score will be automatically calculated based on all the scores entered.

Status

Enter the status of the evaluation.

Evaluated By

This field will be pre-filled by default with the User Name of the relevant User who created the evaluation record. The default name can be edited as necessary.

 

Note that this is a mandatory field, you will be unable to save or submit and Evaluation record unless this field is completed. This is to ensure that Evaluators can be easily traced or identified in the System.

Note: Notice that the Average Score field will display an average score for this crew member based on all the scores entered.

6. Move on to the Evaluation Details section. Click the  Criteria tab and provide a Score for each of the items listed in the table. You can indicate whether the crew member Needs Training, and you can also include Evaluator Comments and Employee Comments as needed. You will not be able to enter a score more that the range that was defined when setting up the template.

Note: The Need Training? column (visible once you open a criteria record, by default) can be hidden if required. Please contact BASS Support if you wish to hide the column from view.

 

7. Click the Operational Performance tab. Here, expand each section and fill in the relevant numbers for the crew member's performance with regard to operational matters.

 

8. Click the Other Assessments tab and indicate answers for the questions listed under this tab.

 

Note: The Result selected in the 'Is crew ready for promotion' field will be displayed in the For Promotion column under the Evaluation tab on the Evaluation screen to show whether the crew member is ready for promotion.

 

9. Move on to the Overall Comments tab. This section allows comments pertaining to the crew member to be entered by the Evaluator, Crew and Reviewer in their respective fields. In the Reviewer field, click the '+' icon to add a new row to the table. Then, enter the Date the comment is made, the Name of the person making the comment and finally enter the Comments pertaining to the crew member.

 

Note; You may save the evaluation records and resume your progress later without completing the Overall Comments tab. The System will only require mandatory comments in the Overall Comments tab to be completed when you are submitting the evaluation.

10. Click the Proposed Training tab. Here, you can propose training courses that the crew member should attend. Click the '+' icon and the Evaluation - Proposed Training window is displayed. Select the relevant training course and click OK. The Training Course will now be listed under this tab. The Status of Training will be listed as 'Proposed'. Enter a tentative date when the crew member should attend this training in the Tentative Date field. A user with the necessary access rights will be able to approve or reject this proposed training course using the Training Requests feature.

 

11. Click Save to save all the evaluation entries.

Note: Automatic Crew Evaluation email notifications will now be sent to relevant crew member based on settings under the Evaluation Template Register whose 'Crew Acceptance is required', when:

  • an evaluator clicks Submit Evaluation for an evaluation record; and

  • the evaluation process has been completed.

Setting a Goal for a Crew Member

To set a goal for a crew member:

1. From the HR Manager main menu, click Profiles under the Personnel menu.

2. Ensure that the crew profile for which you want to set a goal target has been loaded. Use the Personnel search field to search and select the relevant crew profile.

Use the drop-down function to select and load a list from the Personnel List section and click a crew member from the Search Result section to view his profile.

 

3. After you have loaded the crew profile record, click the Activity tab.

4. Select an activity which you want to set goals for the crew member. The Activity screen will be displayed where you can then click the Evaluation link.

5. The Evaluation screen will be displayed. Click the Goal tab and click New to create a new goal. Enter information in the following fields:

Goal

Enter the goal that has been set for the crew member.

Start Date

Use the calendar function to select the date to start the goal.

Target Date

Use the calendar function to select the target date to achieve the goal.

Achieve Date

Use the calendar function to select the date the goal is achieved.

Score

Enter the score received by the crew member for the goal.

Status

The current status of an evaluation record, i.e. 'Pending', 'Completed' or 'Abandoned'.

Year(s)

Specify in term of years the duration that the goal can be achieved.

Expected Result

Enter the expected result of the goal.

Created By

The name of the person who created the goal record will be displayed by default in the field.

6. Click Save to save all the goal entries.
