Creating a New License Record

Using this feature you can create license records for a crew member and store the license information in the System. This helps you to keep track of license expiry information. A notable feature is that whenever a license has expired, it will be indicated in a different colour.

Creating a National License Record

Screen Navigation: Personnel - Profiles - Licenses tab - National sub tab

To create a new national license record for a crew member:

1. From the HR Manager main menu, click Profiles under the Personnel menu.

2. Ensure that the crew profile for which you want to create a new national license record has been loaded. Use the Personnel search field to search and select the relevant crew profile.

Note: To use a previously saved list of crew, click the search icon in the Personnel search field to use the Personnel List feature on the Simple Search window. Use the drop-down function to select and load a list from the Personnel List section and click a crew member from the Search Result section to view his profile.

 

3. After you have loaded the crew profile record, click the National sub tab under the Licenses tab.

 

4. Click the 'Click here to create new record' link to create a new national license record. A national license is a license given by a certain country to the license holder for him to be a crew member.

5. On the Licenses/Training screen, enter details in the following fields:

 

Field

Description

License

Use the Lookup function to select the national license held by the crew member.

License No

Enter the national license number.

Capacity

The field will be populated based on the License selected.

Limitation

Enter the limitation information as stated in the crew member's license. This usually describes the class of the vessel, e.g. tonnage or vessel type.

Issued Date

Use the calendar function to select the date the national license was issued.

Expiry Date

Select ‘None’ in the Status field to enable the calendar function. Entering a date in this field helps the System to track national license expiry. If a license has expired, it will be highlighted in red in the table under the National sub tab.

 

If you select ‘Permanent’ in the Status field, it means that the license has no expiry date.

 

Note: The Expiration Status column under the Licenses - National sub tab will display the following statuses based on these Expiry Date conditions:

 

  • Permanent - If the Status is selected as 'Permanent'.

  • None - If the Status is selected as 'None' and no Expiry Date is entered.

  • (Blank) - If the Status is selected as 'None' and an Expiry Date is entered.  

Issued By

Enter the name of the issuing organization/company.

Issued At

Use the Lookup function to select the country in which the license was issued.

Status

Use the drop-down function to select the status of the national license. The statuses available in the drop-down menu are the ones created in the License Status Register.

Comments

Enter any comments pertaining to the national license, if any.

6. Click Save after you have completed your entries. The information you have entered will now be available in the table under the National sub tab on the Licenses/Training screen.

7. On the Licenses/Training screen, you can also add licenses as required by the Manning Scheme by clicking the Add Manning Requirements Licenses button. The Add Manning Requirements Licenses pop-up window will be displayed. Based on the Vessel, Scheme and Rank selections, the System will list the licenses required by the Manning Scheme. You can then easily select the licenses listed here and click OK to add them to the table under the National sub tab.

 

Note: You can right-click on a record listed in the table and select the Send Email option. The System will automatically include any attachments that you have uploaded for a record to an email that is to be sent out. The Email pop-up window will be displayed and the uploaded file will be automatically attached to the email. You can then type in the email address of any recipient as required. Multiple records can be selected and all the attachments will be automatically included in the email. The email of the sender will automatically be included in the CC/BCC field.

 

 

 

Creating a Flag State Record

Screen Navigation: Personnel - Profiles - Licenses tab - Flag State sub tab

To create new flag state record for a crew member:

1. From the HR Manager main menu, click Profiles under the Personnel menu.

2. Ensure that the crew profile for which you want to create a new flag state record has been loaded. Use the Personnel search field  to search and select the relevant crew profile.

Note: To use a previously saved list of crew, click the search icon in the Personnel search field to use the Personnel List feature on the Simple Search window. Use the drop-down function to select and load a list from the Personnel List section and click a crew member from the Search Result section to view his profile.

 

3. After you have loaded the crew profile record, click the Flag State sub tab under the Licenses tab.

 

4. Click the 'Click here to create new record' link to create a new flag state record. Flag state records are certificates that recognize the licenses to be used on a flag state vessel.

5. On the Licenses/Training screen, enter details in the following fields:

Description

License

Use the Lookup function to select the flag state record held by this crew.

License No

Enter the number of the flag state record.

Capacity

The field will be populated based on the flag state record selected in the License field.

Limitation

Enter the limitation information as stated in the crew member's flag state record.

Issued Date

Use the calendar function to select the date the flag state record was issued.

Expiry Date

Select ‘None’ in the Status field to enable the calendar function. Entering a date in this field helps the System to track the expiry of the flag state record. If a flag state record has expired, it will be highlighted in red in the table under the Flag State sub tab.

 

If you select ‘Permanent’ in the Status field, it means that the flag state record has no expiry date.

 

Note: The Expiration Status column under the Licenses - Flag State sub tab will display the following statuses based on these Expiry Date conditions:

  • None - If the Status is selected as 'None' and no Expiry Date is entered.

Issued By
