Working with Personnel/Vessel List

The topic provides you with help on how to work with personnel/vessel lists. Using lists, you can load a previously saved list of personnel/vessels without having to perform a search for particular personnel/vessel records. Personnel/Vessel Lists basically allows you to categorize personnel/vessel records for easy retrieval.

Temporary Working List - you can add records to a temporary list. This allows you to access the records you want to work on currently, very quickly. To add records to the temporary working list, under the Search Results section, right-click on a crew record and select Add to Temporary Working List. Once you are done working on all the records in your temporary list, under the Search Results section, right-click on a crew record and then select Clear Temporary Working List. It is good practice to clear your working list once you are done.

Note: The instructions listed below are for working with Personnel Lists. The same steps are also applicable for Vessel Lists. The usage of Vessel Lists is available in the Fleet module.

Note: The Add to Vessel Working List/Add to Working List options available when you right click on a record under the Search Result tab, allows you to add that record to the Working List, a default List that is available in the system. You can then select 'Working List' from the List menu to work on the records added to this List.

Creating a New Personnel List

To create a personnel list:

1. On any screen that has the Personnel/Crew search field, click the search icon to display the Simple Search window and carry out a search for crew that you would like to add to a list. The results of the search will be displayed in the Search Results section.

 

2. Select a crew record. Then right-click on the record and select Create New List from the menu that is displayed.

 

3. The Manage Personnel List window is displayed.

4. In the List Name field, enter a name for this new list.

 

5. Click Save. Note that the selected crew will already be listed in the List of Crew table here.

6. You can add more crew records to your list either by:

a. Clicking the '+' icon at the bottom left of the List of Crew table on the Manage Personnel List window. The Crew IPN pop-up window will be displayed. Make your selections and click OK. The selected crew records will then be added to the list.

 

b. Loading other lists from the My List drop down menu and then highlighting multiple records from that list. Upon selection, right-click and then select Copy from the menu that is displayed.

 

Next, from the My List drop down menu, select the list to which you would like to add these records. Once the list is displayed, click the Paste button. The previously copied crew records will now be displayed in this list.

 

Important Note: Please click Save in order to save the list.

c. Carrying out a search on the Simple Search window. Right-click on a crew record and select Add To Existing List from the menu.

 

On the Manage Personnel List window, select the list to which the selected crew record is to be added (from the My List field) and click select the Paste button. The previously selected crew record will then be added to this list.

 

Note: You can easily access the Manage Personnel List/Manage Vessel List window from the My Favourites menu.  

 

 

 

Using a Personnel List

To retrieve records using a personnel list:

1. On any screen that has the Personnel search field, click the search icon to display the Simple Search window.

2. In the Personnel List section, select the list that you want to load.

 

3. The crew records previously added to this list will then be displayed in the Search Result section. To switch to a different list, make your selection from the Personnel List drop down menu again.

 

 

Removing Records from a Personnel List

To remove records from a personnel list:

1. From the Manage Personnel List window, load a list by making your selection from the My List drop down list. The crew records available in this list will be displayed.

Note: You can easily access the Manage Personnel List/Manage Vessel List window from the My Favourites menu.  

 

2. Highlight the crew record that you want to remove from this list and click the '-' icon.

 

Note: Click the Remove All button to remove all crew records from the list.

3. The crew record will no longer be available in this list. Click Save.

Important Note: Clicking Delete only removes this crew record from this personnel list. It does not delete the crew record from the System.

 

 

Deleting a Personnel List

To delete a personnel list:

1. From the Manage Personnel List window, load a list by making your selection from the My List drop down list. The crew records available in this list will be displayed.

Note: You can easily access the Manage Personnel List/Manage Vessel List window from the My Favourites menu.  

 

2. Click Delete. The crew list will be deleted and will no longer be available for selection.

 

Important Note: Clicking Delete only removes this personnel list and all crew records that have been categorized under it. It does not delete the crew records in this list from the System.

 

 

Uploading a Digital Signature

To upload a digital signature:

1. Access the Manage Digital Signature window from the My Favourites menu.

 

2. Click + to upload a digital signature.

3. Click Select to browse and select an image file of the digital signature.

 

4. Then click Upload.

5. To add the digital signature to a Crew List report, select the Include Digital Signature check box on the Reports - Crew List screen before generating the report.
