Viewing Staff Strength

Using this feature you can see an overview of your fleet strength, i.e. total staff onboard vs staff on vacation based on a certain date. You can also calculate your staff surplus or staff shortage based on your fleet size. This information can also be exported to a Microsoft Excel file. A feature to track your staff retention rate during a particular period is also available in the System.

Viewing your Staff Strength

To generate an overview of your staff strength for a particular date:

1. From the HR Manager main menu, click Staff Strength under the Planning menu.

The Staff Strength screen is displayed.

2. In the Check Date field, select the date based on which you want to view your staff strength.

3. Click Ranks and select the ranks that you want to display. In the Lookup window that is displayed, select the check boxes of the ranks that you want to display and then click OK.

4. Similarly, select the Vessel and Pool to further filter the list below.

5. Click the Generate icon (magnifying glass icon).

6. The Staff Strength overview for the selected Ranks will be generated.

 

7. In the Fleet Strength table:

Field

Description

Onboard (<=2mth and <2mth)

Displays the number of personnel of a particular Rank who are currently onboard for more than 2 months or less than 2 months

Total On Board

Displays the total number of personnel of a particular Rank who are currently onboard your vessels

On Leave (<75% and <75%)

Displays the number of personnel of a particular Rank who have used more than 75% of their leave or less than 75% of their leave

Planned to Sign On

Displays the number of personnel of a particular Rank who have planned activities created for them.

Total On Leave

Displays the number of personnel of a particular Rank who are currently on leave.

Total

Displays the sum of personnel of that rank that are on leave and planned to sign on.

Others Occupied

Displays the number of personnel of that rank that are occupied elsewhere.

Total Strength

Displays the total number of personnel of the particular Rank available in the fleet.

Available

Indicates the availability of the crew during the date (for activity codes that are set as 'Available' in the Activity register.

8. Move down to the bottom half of the screen. The bottom table provides a simulation functionality for the crewing department to gather information on the shortage or surplus of the crew in any given rank. This table enables you to calculate your staff surplus or staff shortage based on your fleet size for a one year duration at any point of time. In the Current Fleet Size field, enter your current fleet size. Then in the Strength+ field, enter the additional percentage of personnel required (which you may want to keep as a safety net over and above your normal staff required).

Click each Rank and the Staff Strength - Rank Requirement pop-up window will be displayed. In the No. of Vessels field specify the number of vessels against which the calculation is to be carried out. In the No. of Ranks field, enter the number of people for the position that will be required for the specified number of vessels.  Click Calculate.

 

9. The result populated in the table will give you a correct indication on whether you have a shortage or surplus of the crew in your fleet.  

10. Clicking the Export to Excel icon will enable you to generate the data in a Microsoft Excel file.

 

 

Viewing your Staff Retention Rate

To generate an overview of your staff retention rate for a particular period:

1. From the HR Manager main menu, click Staff Strength under the Planning menu.

2. The Staff Strength screen is displayed.

3. Click the Retention Rate link.

4. The Retention pop-up window will be displayed where you can specify a time period and the Pool for the search. Then select either the Rank Group filter or the Rank filter.

 

5. Click OK to generate the report. You can then choose to open the report in a Microsoft Excel format or save the Microsoft Excel file to your computer.
